Job Description

Unbridled is looking for a talented individual to provide support to Program Managers for assigned meetings and manage attendee registration. The qualified Sr. Meeting Coordinator should have excellent communication (both written and oral) and internal and external customer service skills. The individual should be self-motivated, committed, a quick learner, and a dedicated team player. Strong organizational and time management skills combined with flexibility and the ability to adjust priorities are required for success in this position. Applicants must have a full understanding of Cvent reporting and the ability to edit attendee profiles and create and send communications. Proven track record managing accurate rooming lists, managing attrition schedules, and reconciling hotel bills. 

Successful candidates will have the following: 

  • Bachelor's Degree
  • 2+ years experience as a Meeting Coordinator
  • Excellent Computer Skills – Microsoft Office - Excel, Word, Outlook
  • Detail-oriented and enjoys problem solving
  • Effective, professional business communication skills – written, spoken, and presentation
  • Comfort level and required professionalism to work directly with client contacts during all phases of the planning and execution of their meeting
  • Superior customer service skills
  • Intermediate to advance level knowledge of registration software, Cvent 
  • Ability to travel to client programs and confidently represent Unbridled and our clients

What you would be doing at Unbridled: 

  • Manage multiple project tasks simultaneously against strict deadlines
  • Reporting
    • Manage data through formulas (eg pivot tables, Vlookups, etc)
    • Create, maintain, and analyze reports
  • Collaborate with and assist Project Managers on pre-planning and logistical details
    • Expert in managing housing and attrition schedules across multiple hotels
    • Can independently oversee onsite registration desk and lead a team onsite
    • Menu and décor planning
    • Dine around sourcing
    • Transportation/manifest management
    • Other vendor sourcing 
  • Mentor Meeting Coordinators 
    • Housing, registration, and attendee management
    • Effective client communication 
    • Communicate Unbridled best practices
  • Program registration and housing management
    • Assist in testing and the launch of program websites utilizing registration software
    • Create and provide attendee reports for Account and Program Managers and clients
    • Crosscheck and quality control of hotel rooming lists and air manifests pre-and post-event
    • Manage housing up to 5,000 attendees
    • Manage multiple room blocks simultaneously
    • Manage attrition schedules independently 
    • Communicate directly with attendees (email, phone, in-person)
    • Lead registration meetings with clients
    • High understanding of Excel to include Vlookup, Pivot Tables, Macros
    • Manage reconciliation for registration and housing
    • Manage and reconcile registration fees and sponsorship fees
  • Provide outstanding client service always, even under stress
  • Proofread emails, websites, and spreadsheets on a regular basis
  • Embody the Unbridled brand and culture, including: character, change, credibility, and community
