Job Purpose

The Operations Executive will support across a broad range of operational, workplace, and coordination activities, helping ensure the business runs efficiently and effectively day-to-day. The role will work closely with the Head of Agency Services / Strategic Operations & Integration, Operations Manager and wider Agency Services team to support office operations, facilities coordination, compliance administration, onboarding, recruitment coordination, resourcing support, special projects and internal communications. This is a varied role suited to someone who enjoys working across multiple operational areas within a fast-paced agency environment.

Key Responsibilities

Office & Workplace Coordination

  • Support the day-to-day running and organisation of the office and workplace logistics
  • Support office standards, supplies and workspace organisation
  • Coordinate office maintenance, cleaning and facilities requirements
  • Help maintain a positive and organised workplace environment
Compliance & Facilities Support
  • Support compliance administration and opertaional documentation processes across the business
  • Coordinate activities relating to PAT testing, Fire Risk Assessments and Health & Safety requirements
  • Liaise with suppliers and support operational governance processes
HR, Recruitment & Onboarding Support
  • Support recruitment coordination across the business
  • Assist with interview scheduling and candidate communication
  • Support onboarding coordination and new starter setup
  • Assist with HR administration and employee records where required
  • Support internal employee engagement activities where required
Resourcing & Operational Support
  • Support resourcing coordination and freelancer administration
  • Assist with scheduling and operational tracking
  • Support operational planning and internal coordination activities
Internal Comms & Engagement
  • Support internal communications and business updates
  • Assist with intranet updates and internal engagement initiatives
  • Support internal events, gifting, and recognition activities
Special Projects & Initiatives
  • Support wider operational and integration initiatives and special projects
  • Support process improvement and organisational initiatives over time
Essential Skills
  • Previous experience within an events agency, creative agency or fast-paced operational environment
  • Experience supporting office operations, workplace coordination or operational administration
  • Exposure to recruitment coordination, onboarding or HR administration
  • Understanding of GDPR and operational compliance processes
  • Strong organisational and administrative skills
  • Excellent communication and coordination abilities
  • Ability to manage multiple priorities and deadlines
  • Strong attention to detail
  • Good Microsoft Office / Google Workspace skills

Desirable Skills

  • Experience supporting resourcing or freelancer coordination
  • Exposure to facilities or workplace compliance administration
  • Experience supporting Health & Safety coordination
  • Experience supporting internal communications or employee engagement initiatives

Additional Information

Salary: £30,000 - £35,000 per annum
Hours: 30 hours per week, with the flexibility of spreading those hours over 4 or 5 days (Wednesdays in the office)
Location: Bromley, Greater London (office-based / hybrid)
Important Note: Location near the Bromley office is required to support occasional urgent onsite needs outside of and within regular working hours
